Rare Days is a remote-first company based in Vancouver and New York. We operate primarily within North American time zones and are open to candidates located within four hours of PST. Preference is given to Canadian applicants.
About the Role
The Director of Operations is a strategic leadership role responsible for ensuring the agency runs efficiently, profitably, and in alignment with our long-term growth goals. This role touches every operational aspect of the business including: finance, resourcing, hiring, and growth — keeping the company structured and scalable while allowing our teams to do their best work.
We’re looking for someone with a strong background in the agency world, specifically with financial oversight, resourcing, and people operations. You have a knack for problem-solving the unexpected and thinking on your feet. You are equally comfortable zooming in on the details, and keeping the bigger picture (and bottom line) in mind.
Responsibilities
Finance & Budgeting
- Oversee and work with our financial partner, and the CEO, on all financial processes and P&L, ensuring the company maintains strong financial health.
- Supervise month-end and ad hoc accounting tasks with internal and external finance teams.
- Manage and adjust budgeting and financial projections each month, including:
- Hiring forecasts and assumptions.
- Budget line items and cost control.
- Revenue growth planning.
Resourcing & Utilization
- Be accountable for team utilization and project resourcing, balancing the incoming pipeline estimate with current project delivery schedules
- Work closely with department leads to assign team members based on project priorities, ensuring efficient utilization and balanced workloads.
- Collaborate with Partnerships team to ensure accurate estimates, SOWs, and that new projects in the sales funnel align with our team capacity.
- Maintain deep knowledge of our rate card, estimation sheets, and contractor agreements to ensure financial sustainability.
Government Funding & Grants
- Lead our SRED tax credit process:
- Coordinate internal and external teams for compliance and documentation.
- Manage ongoing reporting and data collection for successful claims.
- Proactively seek out and apply for relevant funding opportunities (such as IRAP, student hiring grants, CanExport)
People & Hiring
- Support our People Operations Lead to make strategic hiring decisions based on business pipeline, utilization, and financial priorities.
- Ensure compensation decisions align with profitability targets, rate card, and market benchmarks.
- Provide oversight and final approval for hiring, promotion, and compensation processes.
- Work closely with our People Operations Lead to refine processes, and own the decision-making for key hiring and people-related initiatives.
- Manage one Operations team member, coaching them towards their own growth goals.
What We’re Looking For
- 7+ years in operations, finance, or business leadership, ideally in a digital agency.
- Strong P&L, budgeting, and financial forecasting skills.
- Experience with project resourcing and utilization management.
- Ability to balance financial oversight with strategic growth and team needs.
- Strong knowledge of compensation strategy and hiring best practices.
- Experience applying for and managing government funding programs (SRED, IRAP) is a plus.
- Highly adaptable— things change fast, and you can pivot without getting stuck on a plan.
- Comfortable with ambiguity— you can build playbooks from scratch and figure things out as you go.
- Proactive— you spot gaps, take action, and don’t wait to be told what to do.
- Sees both the big picture and the details— you know when to zoom in and when to step back.
- Independent operator— you take ownership and run with things, knowing when to ask for help or seek collaboration.
- Direct and confident— you voice your opinions and value candor amongst your team

As an organization headquartered in British Columbia, we’re required to post the salary range if the position to be filled locally. This range may be higher or lower for candidates based outside of BC, and actual pay will take into account the candidate’s experience and competencies.
Compensation
$120,000.00 - $150,000.00 per year
